12th edition of DEFEXPO-2022, on Land, Naval & Homeland Security Systems Exhibition will be held from 10th to 14th March 2022 at Gandhinagar, Gujarat, India. The Exhibition will be held at The Helipad Exhibition Centre (HEC) and Inaugural/official functions & seminars will be held at Mahatma Mandir Convention and Exhibition Centre (MMCEC).

A company/organization/association booking space for participation will be termed as an Exhibitor

Distance between Ahmedabad Airport and Exhibition Centre Gandhi Nagar is 19 kms or 11.8 miles.

The timings of exhibition will be as follows:-

(a) Inauguration, Official events & Seminars – 11th March 2022, (0900hrs onwards) – MMCEC
(b) Business Days – 10th & 12th March 2022 (1000-1700hrs) – HEC & MMCEC
(c) Public Days – 13th & 14th March 2022 (0900-1700hrs) – HEC

MSME will be given a 50% discount for Booking shell space on 12Sqm at time of making final payment. MSME booking >12Sqm is not eligible for any discount. MSME is to submit proof of MSME to avail the discount which will be given post verification of documents (documents to have UAM No).

DEFEXPO has dual rental policy to promote Indian exhibitors. The rates in INR are only applicable to companies registered in India (as defined under the Companies Act, 2013) and shall be displaying products manufactured in India. All other companies are liable to pay the rates prescribed for International exhibitors in US Dollars. Any Indian company/exhibitor(s) found subletting or facilitating display of foreign exhibitors product/promotional material including on digital media within the space/booth will attract penalty of INR 50 Lakhs or US$ 70,000/- on the Indian company/exhibitor that has booked the said space. The Organisers also reserves the right to order closure of such errant companies/exhibitors

The Exhibitor must not transfer, dispose of or part with or otherwise sublet the whole or any part of his site, whether for financial consideration or otherwise. The Exhibitor must, if he is an agent, distributor or licensee, state at the time of contract or through Exhibitor Manuals’ forms, the names of the principals to be represented. This does not prohibit an Exhibitor displaying the products of a principal for whom he becomes agent, distributor or licensee after the time of contract, with the prior written permission of DEO and after paying relevant charges, if/as applicable. However, if the Exhibitor brings in a Co-exhibitor with them, the exhibitor shall have to register their Co-exhibitor after paying registration fee for Co-exhibitor also. If any exhibitor is found to have defaulted, the exhibitor shall have to pay double the rate of their rental charges as penalty at the maximum rates of the space allotted.

“Any Subsidiary/Division of Company/Exhibitor will be considered as part of the Principal exhibitor. However each Subsidiary/Division will be enrolled separately under the Principal’s login free of charge”.

Application for participation is required to be submitted online through the official website www.defexpo.gov.in along with 25% participation charges. Registration and booking of exhibitor space will be accepted on first come – first serve basis. The interested participants are to register online on official website prior space booking. All payments will be done online through the official website. Registration fees once paid will be non-refundable. The exhibitor agrees and understands that, upon allocation of the requested space at no instance the allocated space will be reduced in size.

However, the participants who could not be accommodated will get refund of registration fee in due course, upon acceptance of an application by the Organisers, the application shall ipso facto become a contract binding on the Exhibitor and the Organisers (DEO) on the Terms and Conditions contained herein and in the Exhibition Regulations. On any failure to comply with payment terms, the organisers reserve the right to cancel the contract and to deny access into exhibition area to such exhibitors

Non-refundable registration fee of INR 40,000 or USD 700 (inclusive of 18% GST) will be charged towards exhibitor registration for Indian and Foreign companies respectively, which would be adjusted against space booking charges. If no space is booked by the exhibitor then registration fee would be forfeited. “Any Subsidiary/Division of Company/ Exhibitor will be considered as part of the Principal exhibitor.   • The payment schedule for space booking is as follows:
    • Advance Payment for Space booked till 15 Dec 2021. 25% of the space charges are to be paid within 7 days of making provisional booking else provisional booking will get auto-cancelled by the system and space would be made available for other
    • Full Payment for Space booked till 15 Dec 2021. Exhibitors who have done bookings in Nov 2021 will need to make full payment before 31 Dec 2021, failing which they will have to pay 2% penalty charges per month on balance payable amount upto date of receipt of funds in DEO A/c.
  • Advance Payment for bookings made between 16 Dec 2021 to 31 Jan 2022. 50% of the space charges are to be paid within 7 days of making provisional booking, else provisional booking will get auto-cancelled by the system and space would be made available for other
  • Full Payment for Space booked between 16 Dec 2021 to 31 Jan 2022. Full payment is to be made by 15 Feb 2022 failing which they would need to pay 2% penalty charges per month for balance amount payable upto the date of receipt of funds in DEO

  • All sums payable under this contract shall be paid together with the addition of such Goods and Services Tax (or such other government tax or levy) as is legally payable on those sums. Currently, Service Tax applicable is 18% of the total invoice value. The total cost represents only the payment for the site, details of which are mentioned in the invoice sent by All other goods and services required by the Exhibitor shall be paid for by the Exhibitor in addition thereto. These additional services include, and are not limited to electricity, horticulture, telephone, internet, security etc. Exhibitors will not be allowed to occupy their space or stands if the payment terms specified on the contract are not followed. These terms cannot be varied under any circumstances
  • Interest rate of 2% per month will be charged on any amount outstanding after the due date for payment until payment is received in DEO The stand would be closed and participation disallowed. If full payment is not made before commencement of the show

 

Only fully vaccinated personnel will be allowed entry to the Exhibition. Without the vaccination certificate, permission will not be granted even with possession of valid tickets. NO REFUND OF TICKETS WILL BE GRANTED.
